Connecting it

Here are the columns we read. All of them.

TrueDue takes a CSV or Excel export of your open items and works out which column is which. This is the whole vocabulary it matches against — generated from the code that does the matching, so it cannot drift from what the product actually does.

Written the way these systems write them

The wordings below are taken from real exports out of QuickBooks Online and Desktop (A/R Aging Detail), Xero, NetSuite, Microsoft Dynamics 365, Sage, SAP (FBL5N), DATEV and Lexware, in English and German. Your export does not have to match exactly — matching is scored, not literal, and you confirm the result before anything is imported.

Required

Without these four a file cannot be reconciled, and TrueDue will say so rather than guess.

Start from the template

A file with every column above and three invented example rows. Fill it from any system that can export a spreadsheet — or use it to check that your export has what it needs.

The example companies and addresses are invented. Delete those rows before importing.

Connect the mailbox

TrueDue sends from one dedicated collections mailbox of yours and reads the replies that come back to it. Available today is the connection over IMAP/SMTP; the direct connections for Microsoft 365 and Google Workspace are set up on request.

Microsoft 365

Outlook · Exchange Online — direct connection on request

What your IT needs to do

  • Once it is set up for you: an administrator grants admin consent once for two Microsoft Graph application permissions. No password is exchanged.
  • Recommended: an Exchange application access policy that limits these permissions to the collections mailbox. Without it, Microsoft applies them tenant-wide.

Application permissions

  • Mail.Send
  • Mail.ReadWrite

On request: please write to us before you order. Exchange Online does not accept IMAP/SMTP with a password, so a Microsoft 365 mailbox cannot be connected the other way today.

Google Workspace

Gmail — direct connection on request

What your IT needs to do

  • Available today: connect the mailbox over IMAP/SMTP with an app password, if your Workspace admin allows it (see “Any other provider”).
  • Direct connection, once it is set up for you: a Workspace super admin authorizes the TrueDue client ID (shown in TrueDue) once under Security → Access and data control → API controls → Domain-wide delegation. No password is exchanged.

Exactly these two scopes

  • https://www.googleapis.com/auth/gmail.modify

Google has no way to limit domain-wide delegation to one mailbox, so the authorization technically covers your whole domain within those two scopes. TrueDue uses the Google mailboxes stored for your organization and selects the corresponding address for each operation. Depending on the plan, multiple mailboxes are available; this selection does not narrow Google’s technically domain-wide authorization. Deleting the client ID entry revokes it.

Any other provider (IMAP/SMTP)

Available today — IONOS, Strato, all-inkl, Hetzner, mailbox.org, Exchange Server on-premises …

What your IT needs to do

  • IMAP and SMTP server with port, from your provider's documentation. TLS is required; unencrypted connections are refused.
  • The mailbox user name and preferably an app password rather than the mailbox password. It is stored encrypted and never shown again.
  • To revoke access, delete or change that app password at your provider.

In every case, your customers see your address and replies land in your mailbox. With Google Workspace and IMAP/SMTP the inbox is checked at regular intervals for new replies.

What it will not do

  • It will not guess a year. A DATEV date with a day and a month but no year is refused, never filed under an assumed year.
  • It will not expand a number Excel has mangled into scientific notation. Expanding it would invent a confident, wrong invoice number that then goes out on a reminder.
  • It will not sum two lines that look like the same invoice. Summing them would be inventing a figure, which is the one thing an import must never do.
  • It will not accept a status it does not recognize. A status is either one we curated or it is unknown; there is no third, guessed option.
  • It will not silently change a currency on an existing invoice.

Rows it cannot read are quarantined and shown to you, never applied. A file with more than half its rows malformed is refused outright.
