Automated payment reminders vs. manual follow-up
Sending a reminder is easy. Most accounting systems can do it. The work that eats a collector's week starts afterwards: reading replies, recording promises to pay, pausing the right reminders and routing disputes.

Three ways to follow up on overdue invoices
| Manual (Outlook + spreadsheet) | Reminder feature in accounting software | Follow-up software (TrueDue) | |
|---|---|---|---|
| Sends reminders | By hand | Automatically, often from a system address | From your own mailbox, in your name |
| Reads replies | A person reads every email | No | Checks replies for promises, disputes and questions |
| Pauses reminders after a promise to pay | Only if someone remembers | Rarely | Clear promises pause the affected reminders |
| Routes disputes | Ad hoc | No | Disputes and unclear cases go to your team with the original message and a reason |
| Control | Full, but slow | Rules only | Review mode (approve every email) or autopilot within your limits |
| Setup | None | Part of the system | Upload the CSV/Excel export you already produce |
Compare the whole workflow, including the reply
Start with a CSV or Excel export of your open invoices. In review mode, your team approves each reminder before it is sent from your own mailbox. Then compare what happens when the customer replies.
A clear payment promise pauses the affected reminders. Disputes and unclear matches go to your team with the original message. Evaluate both the routine work saved and the decisions that still need a person; sending more reminders is not the same as resolving more invoices.
When manual is fine
A handful of overdue invoices a month, a few large customers you call anyway.
If that is you, start from these overdue invoice reminder email templates.
When the accounting system's reminders are fine
Standard reminder letters, few replies, no need to act on what customers write back.
When dedicated follow-up software makes sense
Hundreds of reminders a month, customers who reply by email, and a team that loses hours reading those replies and keeping track of promises. TrueDue handles the routine and hands your team only the exceptions. Use the calculator on the home page with your own numbers – it compares the fee with labor cost and makes no promise about collection rates.
